Terms of Service

Effective date: June 20, 2026

These Terms of Service ("Terms") form a legally binding agreement between you and Trustloop("we", "us", or "our") governing your use of our review management platform, website, QR code flows, and all associated services (collectively, the "Service"). Please read them carefully.

1. Acceptance of terms

By creating an account, scanning a QR code, or otherwise accessing or using the Service, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree, you must not use the Service.

If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms, and references to "you" include that organisation.

2. Description of the Service

Trustloop is a B2B SaaS platform that allows businesses to:

  • Generate branded QR codes that route customers to a review submission flow
  • Collect star-rated, text-based customer reviews
  • Sync reviews from third-party platforms (Google, Facebook, Tripadvisor, Zomato, Trustpilot)
  • Send automated follow-up nudges to customers via email, SMS, and push notifications
  • View analytics and AI-powered insights about their reviews (LoopAI)
  • Reply to reviews and manage their online reputation
  • Configure webhooks and third-party automation integrations

Customers (end users of businesses using Trustloop) may create accounts to leave reviews, track their review history, and receive nudges.

3. Accounts and eligibility

Eligibility

You must be at least 16 years old to use the Service. By creating an account you represent that you meet this requirement.

Account types

There are two account types: Owner accounts (for businesses managing reviews) and Customer accounts (for individuals leaving reviews). Each type has separate authentication flows and permissions.

Accurate information

You must provide accurate, current, and complete information when registering and keep it updated. Providing false information, including impersonating another person or business, is grounds for immediate account termination.

Phone verification

Both Owners and Customers are required to verify a mobile phone number via SMS OTP before full access is granted. This is a mandatory security requirement and cannot be bypassed.

Account security

You are responsible for maintaining the confidentiality of your credentials and for all activity that occurs under your account. Notify us immediately at support@gotrustloop.com if you suspect unauthorised access.

One business per account

Each Owner account may create and manage one or more businesses depending on plan level. The Chain plan supports multi-location setups under a single account.

4. Owner obligations

Legitimate use only

You may use the Service only to collect genuine reviews from real customers of your business. You must not use Trustloop to harvest reviews for businesses other than your own.

No fake or incentivised reviews

You must not use the Service to solicit, create, post, or distribute fake, fabricated, or substantially incentivised reviews. Offering gifts, discounts, or cash in exchange for positive reviews is prohibited. Reviews must reflect genuine customer experiences.

Compliance with review platform policies

When connecting third-party review platforms (Google, Facebook, Tripadvisor, etc.) you are responsible for complying with those platforms' own terms and review solicitation policies. Trustloop accepts no liability for violations of third-party platform rules.

Accurate business information

Business details you enter (name, address, category, integrations) must be accurate. Misleading business information that could harm customers or third parties is prohibited.

Webhook and integration security

If you configure webhook endpoints, you are responsible for keeping the generated webhook secret confidential and for securing the receiving endpoint. Trustloop signs all webhook payloads with HMAC-SHA256 using your secret; you should verify this signature before processing payloads.

Customer communications compliance

Review nudges are sent to customers who have registered an account and left a review at your business. By enabling nudges you confirm that sending such follow-up communications is lawful in your jurisdiction and that you will not use this feature to send unsolicited or spammy messages.

Payment obligations

You are responsible for all fees associated with your chosen plan. Failure to maintain valid payment details may result in downgrade to the free Starter plan or suspension of the account.

5. Customer obligations

Honest reviews

Reviews you submit must reflect your genuine, personal experience with the business. You must not submit reviews for businesses you have not visited, submit multiple reviews for the same business within the applicable cooldown period, or submit reviews on behalf of others.

No malicious content

Review comments must not contain defamatory, harassing, threatening, discriminatory, sexually explicit, or otherwise unlawful content. We reserve the right to remove reviews that violate these standards without notice.

Accurate identity

Customer accounts must represent a real individual. You may not create accounts for the purpose of manipulating review scores or gaming the platform in any way.

6. Prohibited conduct

You must not:

  • Use the Service in any way that violates applicable law or regulation
  • Attempt to gain unauthorised access to any part of the Service, our servers, or connected systems
  • Reverse-engineer, decompile, or attempt to extract source code from the Service
  • Use automated tools (bots, scrapers, crawlers) to interact with the Service without our written consent
  • Introduce viruses, malware, or any other harmful code
  • Resell, sublicense, or otherwise commercially exploit the Service without our written consent
  • Interfere with or disrupt the integrity or performance of the Service or the data it contains
  • Use the Service to send spam or unsolicited commercial communications
  • Impersonate any person, business, or entity
  • Attempt to circumvent the review cooldown mechanism or any other anti-abuse control

7. Review content and intellectual property

Your content

You retain ownership of review text and other content you submit through the Service ("User Content"). By submitting User Content you grant Trustloop a worldwide, non-exclusive, royalty-free licence to store, process, display, and analyse your User Content as necessary to provide and improve the Service.

Our intellectual property

The Service, including all software, designs, logos, text, graphics, QR code generation algorithms, and LoopAI models, is owned by or licensed to Trustloop and is protected by intellectual property law. These Terms do not grant you any ownership interest in the Service.

Feedback

If you submit ideas, suggestions, or feedback about the Service, you grant us an irrevocable, royalty-free licence to use them without restriction or compensation to you.

Content moderation

We reserve the right (but not the obligation) to review, remove, or flag any User Content that we determine, in our sole discretion, violates these Terms or is otherwise harmful.

8. AI features (LoopAI)

LoopAI Insights analyses your business's reviews using an AI language model to generate sentiment scores, theme groupings, and actionable recommendations.

  • No guarantee of accuracy. AI-generated insights are provided for informational purposes only. They may contain errors, omissions, or outdated information. You should not rely solely on LoopAI output when making business decisions.
  • Data used.Only your own business's review content is submitted for analysis. We do not cross-reference or share review data between different business accounts.
  • No model training. Your review data is not used to train or fine-tune any AI model.
  • Plan gating. LoopAI Insights is available on the Business and Chain plans only.

9. Plans, billing, and cancellation

Prices shown in USD. Annual pricing is billed as a single upfront charge.

Payment

Paid plans are billed in advance on a monthly or annual cycle via Stripe or Paddle. You authorise us (or our billing provider) to charge your payment method on the applicable renewal date. All fees are non-refundable except as required by applicable law or as stated in our refund policy.

Free trial

Where a free trial period is offered, your payment method will be charged at the end of the trial unless you cancel before the trial ends. Trial terms are shown at the time of sign-up.

Upgrades and downgrades

You may upgrade your plan at any time; the new rate takes effect immediately and is prorated for the remainder of the billing period. Downgrades take effect at the end of the current billing period. Downgrading to a lower tier may reduce available features and data access.

Cancellation

You may cancel your subscription at any time from the Billing & Plan page in the dashboard. On cancellation your account will remain active until the end of the current billing period, after which it will revert to the Starter (free) plan. We do not provide refunds for unused portions of a billing period.

Non-payment and suspension

If a payment fails we will attempt to notify you by email. After a reasonable grace period we reserve the right to downgrade or suspend the account until payment is received. Persistent non-payment may result in account termination.

Price changes

We reserve the right to change prices. We will provide at least 30 days' written notice of any price change before it takes effect for existing subscribers.

10. Service availability

We aim to provide a reliable, high-availability Service but do not guarantee uninterrupted or error-free operation. The Service is provided "as is" and we may temporarily suspend access for maintenance, security incidents, or circumstances beyond our control. We will endeavour to provide advance notice of scheduled maintenance where reasonably practicable.

We do not guarantee specific uptime levels on the Starter or Growth plans. Business and Chain plans may be eligible for a service level agreement — contact us to discuss.

11. Third-party integrations

The Service integrates with third-party platforms including Google, Facebook, Tripadvisor, Zomato, Trustpilot, Zapier, Stripe, Paddle, Twilio, Resend, and Cloudinary. Your use of those integrations is subject to those third parties' own terms and privacy policies. We are not responsible for the availability, accuracy, or conduct of third-party services.

When a Customer follows a deep link from the Trustloop review flow to an external platform, they leave the Trustloop Service and are governed by that platform's terms.

12. Termination

By you

You may close your account at any time via the Settings page. Closing your account terminates these Terms with respect to your use of the Service, subject to provisions that by their nature survive termination (including content licences, limitation of liability, and governing law).

By us

We may suspend or terminate your account immediately and without notice if you breach these Terms, engage in fraudulent or illegal activity, or if we are required to do so by law. We may also terminate accounts on paid plans if a payment obligation remains unresolved after a reasonable cure period. We will generally try to provide notice where it is lawful and practicable to do so.

Effect of termination

Upon termination of an Owner account: QR codes associated with the account will be deactivated, business data will be deleted in accordance with our data retention schedule, and any active subscription will be cancelled. Review content associated with the business may be anonymised rather than deleted to preserve data integrity.

13. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.

We do not warrant that: (a) the Service will meet your requirements; (b) the Service will be uninterrupted, timely, secure, or error-free; (c) results obtained from the Service will be accurate or reliable; (d) any errors in the Service will be corrected; or (e) AI-generated insights will be accurate, complete, or suitable for any particular business decision.

We are not responsible for any reviews submitted by Customers, for the accuracy of third-party review data synced to the platform, or for the decisions you make based on review data or AI-generated insights.

14. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL TRUSTLOOP, ITS DIRECTORS, EMPLOYEES, PARTNERS, AGENTS, SUPPLIERS, OR AFFILIATES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, GOODWILL, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF OR INABILITY TO USE THE SERVICE.

In jurisdictions that do not allow the exclusion of certain warranties or the limitation of liability for consequential or incidental damages, our liability shall be limited to the maximum extent permitted by law.

Our total aggregate liability to you for any claims arising out of or relating to these Terms or the Service shall not exceed the greater of (a) the total fees paid by you to Trustloop in the 12 months preceding the claim or (b) USD $100.

15. Indemnification

You agree to indemnify, defend, and hold harmless Trustloop and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with: (a) your use of the Service; (b) User Content you submit; (c) your violation of these Terms; or (d) your violation of any third-party right.

16. Governing law

These Terms are governed by and construed in accordance with the laws of the jurisdiction in which Trustloop is incorporated, without regard to its conflict-of-law principles. You agree to submit to the exclusive jurisdiction of the courts in that jurisdiction for the resolution of any dispute arising under or in connection with these Terms, except where mandatory local consumer protection laws require otherwise.

17. Changes to these terms

We reserve the right to modify these Terms at any time. When we make material changes we will update the "Effective date" at the top of this page and notify you by email or via an in-app notice at least 14 days before the changes take effect (or immediately where required by law or to address a security or legal issue).

Your continued use of the Service after revised Terms take effect constitutes your acceptance of the revised Terms. If you do not agree to the revised Terms, you must stop using the Service and close your account.
